GENERAL MEETING - OCTOBER 2019

Dear Stayner Chamber members,

Below please find the agenda for this Wednesday’s meeting as well as the minutes from September’s meeting. Our apologies for the delay getting the information to you this month.

Just a reminder that there is an important vote happening at this week’s meeting. We are voting on the change from the Stayner Chamber to the Clearview Chamber of Commerce.  If you wish to vote on this important topic, please be at this Wednesday’s meeting which starts at 6:30 pm at 217 Gideon Street, Stayner.

  1. Update re: New Interim Director & New Interim Secretary
Kat Salvador welcomed Wendy West as the new Interim Secretary. Fiona Frustaci was absent from the meeting but she was acknowledged as the new Interim Director. 
  1. Adoption of Minutes
Approval of the June 19, 2019 was deferred. To be approved at the General Meeting in October.
  1. Financial Reports
Ramona Holm was not in attendance therefore the Financial Report will be deferred to the next meeting.
  1. Membership - Rachael Broderick
Rachel Broderick reported that the Stayner Chamber of Commerce membership was at a total of 69 members to date.
  1. Canada Day - Martina Ernst
Martina Ernst commenced by thanking all the members who helped with the Canada Day event.
A special thank you went out to Larry Culham at Exit Reality.
Martina distributed a detailed report breaking down individual categories. Martina touched base on each subject individually, breaking down full costs of the event.
Charley Lewis requested a blank copy of the venue breakdown. The format was exceptional and would be helpful in the future.
Martina suggested that Thank You cards be sent to each Sponsor along with a special Thank You to Amanda Murray for her outstanding service.
Wendy West agreed to send out the Thank You cards to the following Sponsors.

Clearview Township

Kelly Kramer offered to put/advertise the Canada Day event on the Shop Stayner website
  1. Stayner Arts Fest - Connie Leishman & Marion Spellman
Connie Leishman led the report by announcing the Art Fest Budget of $1,000.00. She does not believe there was profit from the event, however the Art Fest was considered a success due to the amount of local people that attended. There was a general count of 412 attendees, 34 Vendors, 4 Food Vendors and 4 Volunteers.
Barb Gerry provided a painting for the poster.
Greenview Graphics provided the posters.
Peak FM for advertisement
This information was collected for a Governmental Report & TREM Survey/Economic Impact to Simcoe County.
The Members suggested that Connie send pictures of the Art Fest to Kelly Kramer for the Shop Stayner website.
A round of applause was given to Connie Leishman for her hard work and efforts with this event.
  1. Witches Walk - Kat Salvador & Lisa Squire
Kat Salvador described this event showing the Witches Walk flyer and eluding that it would begin with a magic show.
  1. Sponsorship Coordinator - Charley Lewis
Wendy West was named Sponsorship Coordinator. This entails approaching large and small companies for their financial support in an effort to continue to bring growth and awareness to the Business Community within the Township Of Clearview.
 
All Members present gave their full acceptance and no one was opposed. 
  1. Gift for Shawn Desjardins - Kat Salvador
Shawn Desjardins was gifted with a journal by Kat Salvador as a token of appreciation by the Stayner Chamber of Commerce. The journal was received with much appreciation by Shawn.
 
Kat Salvador recapped the process of the gift giving which was motioned in at Sept 11, 2019 Executive meeting.
  1. Stayner Curling Club & Fundraising for Building Renovations - Kat Salvador
Kat Salvador presented members with the awareness of the Stayner Curling Clubs upcoming building renovations. Fundraising will need to continue in order to meet their financial obligations.
 
Stayner Curling Club is slated to join the Stayner Chamber of Commerce.
  1. Chamber Inventory in Tourism Building - Kat Salvador
Summer student Mackenzi Barwood created a detailed catalogue of the chattels for the Stayner Chamber of Commerce. The catalogue is housed in the Tourism Building. Members are encouraged to reference the catalogue prior to an event. This will ensure proper purchasing.
  1. Market Volunteer & Visitor Information - Kat Salvador
Kat Salvador presented the members with a charted Visitor Information Questionnaire 2019 Statistics sheet that was compiled by Volunteer Elaine. This information is helpful and will aide the Stayner Chamber of Commerce in future decisions.
  1. Winter Decorations - Charley Lewis
Charlie Lewis and Mara Burton made the final decisions on the decorative winter lights. The best description given was that they will be red & white elongated ribbons that will be installed by Clearview Township for the Main St.        
  1. Remembrance Day Banners
There were no members present from the Heritage Society to present this report so will be deferred to the next meeting.
  1. Clearview Chamber of Commerce – Charley Lewis
Christie Cummins has confirmed that the Stayner Chamber of Commerce is incorporated.
Christie Cummins has made The Chamber aware that there have been zero updates since    inception of 1996 & 2003.
 
Chamber is waiting for pertinent information from John Squire so that it can be forwarded to Christie Cummins.
 
Charley Lewis addressed the plan of wanting to change the logo of the Chamber of Commerce to Clearview Chamber and needing a logo designer, etc.
 
This was met with some concern and opposition, and it was suggested by John Broderick that we call for a Notice of Motion and (or) a Special Meeting. A Notice of Motion was brought by Kat Salvador and seconded by Troy Disabato to vote on this issue at the October Chamber meeting.
  1. Discussion re: Events. Open to ideas for the upcoming year – Charley Lewis
    1. Stayner Country Christmas (Tree Lighting) – Co Chaired by Charley Lewis and Craig Raffan

  1. Business Recognition Awards 2020 – Chaired by Fiona Frustaci
  2. 1888 Market Place – Co Chaired by Charley Lewis and Cayleigh Jago
*Black Friday renamed to White Wednesday – November 27, 2019 (asking Mara for an official letter so we can post in downtown Stayner)
  1. Music In the Park – Unchaired
*In need of someone to book the music and head up the 50/50 draw. Going to advertise on Social Media.
  1. Canada Day Celebration – Chaired by Martina Ernst
  2. Stayner Arts Fest – Chaired by Marion Spellman
  3. Business Crawl – Co Chaired by Kelly Kramer and Cayleigh Jago
  4. Workshop Series – Upcoming and Future Ideas – Chaired by Charley Lewis
 
  1. Crosswalk – Charley Lewis
Charley Lewis reported that she spoke with Mayor Doug Measures concerning the placement of the crosswalk. Mayor Measures relayed that the MTO is not responding to any of their correspondence.
It was agreed upon that the Chamber of Commerce will send an Official letter to the MTO in hopes they will respond. A final decision must be made regarding the placement of the crosswalk.
 
It was suggested by an unnamed member to start a petition within the Town of Stayner in order to get the MTO to respond in a timely fashion.
 
It was also suggested that instead of a cross walk we could use a flashing ‘slow down’ sign that shows your speed. The cost of the flashing light will be researched and provided.
  1.  Other Business – Charley Lewis
    1. All Candidates Meeting
The All Candidates Meeting was suggested by Sandra King.
The Chamber would need volunteers for this event to set up chairs, tables etc.
Charley Lewis initiated that we set up a snacks bar to benefit The Chamber.
It was suggested that we contact The Lions Club who generally has the priority at the Stayner Arena for the snack bar in hopes that he would grant permission for The Chamber to do so.
  1. Tablecloth
Kat Salvador was looking into the particulars/cost of a tablecloth for advertisement for upcoming events. It was stated that our local screen printer wanted to pass on that opportunity, but Vista Print was another source worth looking into. There was 11 shows of hands to move forward on the ordering of the tablecloth at an approximate cost of $230.
  1. Small Halls
Small Halls commences on October 03, 2019. Everyone was encouraged to come out and support this great local event.
  1. Collingwood GNE
Collingwood GNE commences on September 20 – 22 2019. Everyone was encouraged to attend with their families and support this local event.
  1. Library Quilt
There are tickets still available for the library quilt. Please purchase to support our local library.
  1. Stayner BIA
John Broderick wanted to give the Stayner BIA a quick acknowledgement in order to promote growth.
  1. Buck and Doe
Daniel McKay and Jennifer Campbell’s Buck and Doe on September 21, 2019 from 1:00 – 8:00 pm. Jennifer Campbell is the owner of The DanceRoom in Stayner.  If able to drop in and support this couple, it would be appreciated.
  1. Habitat for Humanity
Habitat for Humanity has vacancies on their Board. Contact Joy Fleury if interested.
  1. After 5
After 5 is looking for a chair. Inspiring meetings at different business locations. It’s a great opportunity for Social Networking. Wasaga Beach’s After 5 events is very successful. If anyone has the opportunity to speak with them to glean secrets to their success it might be helpful to grow ours.
  1. Confirmation of Next Meeting and Adjournment
Next meeting is to be held Wednesday, October 16, 2019, at 217 Gideon St., Stayner, ON, in Council Chambers at 6:30 pm.
The nights meeting was unanimously adjourned by all members.
