General Meeting - October 16, 2019

  1. Welcome & Call to Order: Meeting was called to order at 6:32pm.
In Attendance: Charley Lewis, Kat Salvador, Ramona Holm, Troy Disabato, Craig Raffan, Carson Kramer, Kelly Kramer, Norm Andrews, Ross Campbell, Petronella Bell, John Squire, Lisa Squire, Larry Culham, Carolle Kerfoot, Gord Mulgrew, Cayleigh Jago.
  1. Vote Re: Change from Stayner Chamber of Commerce to Clearview Chamber of Commerce
There was some concern around how the Clearview Chamber would provide representation in all the villages. For example, would there be several X-Mas tree lightings in several areas?It was suggested that more information on how this would work before the change be voted upon.
 
It was argued that the Chamber is already open to members from other areas and that we would work out the representation slowly as we grow and work out the details.
 
A point was made that the Chamber needs to grow with the environment.We need to evolve in order to have more money and provide more things for our members. Many businesses in Clearview Township do not feel like they have representation because there are no Chambers in their village.
 
After much discussion, it was moved by Kelly Kramer, seconded by Craig Raffan, and carried (not unanimously) to change the name from Stayner Chamber of Commerce to Clearview Chamber of Commerce.
 
In regard to the cost of the name change, it was motioned by Kelly Kramer, seconded by Carolle Kerfoot and carried to approve the approximately $65 payment for the name change to Clearview Chamber of Commerce.
 
It was also decided that a Clearview Committee should be formed in order to work out next steps and brainstorm about the necessary changes.

Clearview Committee: Charley Lewis, Craig Raffan, Kelly Kramer & Carson Kramer.
  1. Discussion re: logo contest
It was suggested we hold a contest for the new Clearview logo. Cayleigh Jago will post it on Facebook when ready.
  1. Discussion re: colour and animal branding
Charley Lewis conveyed that having some local animal branding gives a positive vibe for our area when customers see our ‘animal(s)’ in all of our business merchandise.
  1. Presentation: Stayner Curling Club & Fundraising for Building Renovations
The Stayner Curling Club is currently fundraising to make their building fully accessible. Their proposal to the Township was accepted but they were asked what they could do right now in terms of funds so their fundraising committee came up with several events; Find the Ace lottery, Golf Tournament, Quilt for a draw, Apple Pie fundraiser, etc.
 
The Stayner Curling Club want to work with the Chamber to make a better building, and club, so they will be joining the Chamber.  They are looking to use our business network and talent pool to assist them with some initiatives; e.g. grant writing and other assistance.
 
They can offer corporate branding for businesses, and businesses can advertise in their tournament programs, their rosters, branding of their leagues, etc.
  1. Approval of the June 19, 2019 Minutes (Deferred from last meeting)
It was motioned by Troy Disabato, seconded by John Squire and unanimously carried to approve the Minutes as presented.
  1. Approval of the September 18, 2019 Minutes
It was motioned by Kat Salvador, seconded by Carolle Kerfoot and unanimously carried to approve the Minutes as presented.
  1. Financial Report
Ramona Holm reported that the Chamber’s bank account is currently at approximately $3,700.
  1. Update re: Reconciliation of Business Recognition Awards
The Business Awards event ran a loss of approximately $58.
  1. Update re: Reconciliation of Music In The Park
The Music In The Park events over the summer made approximately $5,000.
  1. Update re: Reconciliation of Stayner Arts Fest
The Stayner Arts Fest event made approximately $1,000.
  1. Report re: Membership
Rachael Broderick reported that the Chamber is now at 72 members, soon to be 73 members.
 
It was brought up that one person was interested to be a Chamber member but they do not own a business.Kat Salvador advised that the membership passed a ruling approximately a year ago that would allow 10% of the membership to be non-business owners.Kat will check the minutes and report back on this.
  1. Update re: All Candidates Meeting
Charley Lewis reported that the meeting went very well.  It was a full house with lots of support with councillors and the Mayor in attendance.  An undercover police officer was there for security.
 
Unfortunately there was a mix-up and the Chamber had no stage for the event. The Chamber therefore had to pay approx. $1,000 for a stage.  The attendees donated approximately $400 that evening to put towards the stage and the venue waived the cleaning fee.
 
Thank you to Michele and Fiona Frustaci for preparing all the food and serving all evening.  It was motioned by Kelly Kramer seconded by Ross Campbell and unanimously carried to allow MMEA to keep the money they raised at the event.
  1. Update re: Remembrance Day Banners
Kat Salvador reported from an e-mail provided to her by Tamara Culhma that the Heritage Society raised all the money required for the banners this year so funding from the Chamber is not needed.  However, the Heritage Society will be investing in more banners next year so a monetary commitment for 2020 would be appreciated.
 
Larry Culham further clarified that the veterans’ families put money towards the banner this year. However, there are family lines that have ended so some people do not have families to donate. The Heritage Society will need money for those particular banners.
 
It was discussed and decided that the Chamber will wait until the Heritage Society present a proposed amount for the Banners.  At that time, a donation amount will be decided upon based on our 2020 budget.
  1. Discussion re: Chamber Resolution to Gov’t on banning single use plastics & Styrofoam
Charley Lewis proposed that the Chamber write a resolution to be put forward at the Ontario Chamber of Commerce AGM to stop the use of single use plastic.It was mentioned that if someone has already put forward a resolution to stop the use of plastics & Styrofoam, we do not have to do our own resolution.Instead, we would just support the original resolution with a letter of our own.Charley will find out if a resolution has already been put forward for this already.
  1. Discussion re: White Wednesday
The date for White Wednesday has been decided to be November 20th.  Businesses will have white lights and movement in their windows to decorate for the sale day.  It was suggested that for a future year we ask The DanceRoom to be ‘Living Windows’ in stores to promote the day.
  1. Discussion re: Events Committee
Charley Lewis has proposed that the Chamber have an events committee that strictly oversees the events. It would be a group of people as opposed to a single chair to alleviate the pressure of one person running an event. It was agreed that this would be a good idea.
  1. Discussion re: Events. Open to ideas for the upcoming year

Nobody has volunteered to Chair this event. It will be brought back to the next meeting.
  1. Workshop Series – Upcoming and Future Ideas
Nobody has volunteered to Chair this event. It will be brought back to the next meeting.
 
For the event ideas it was suggested that we can bring back some of the workshops that were already done. We can also ask others if they wish to run a workshop themselves.
  1. Discussion re: Media Coordinator
Charley Lewis has asked for someone to assist with the Facebook posts to alleviate some of the pressure from Kat Salvador.  Cayleigh Jago has volunteered to help with the Facebook posts and Kelly Kramer will continue to update and post on the Chamber website.
  1. Discussion re: Ideas For More Business Awards
Charley Lewis asked for everyone to please come up with at least one additional award for the Business Awards evening.
  1. Update re: Tablecloth – Kat Salvador
Kat Salvador reported that the tablecloth was going to be approximately double the price of what was originally budgeted so a collapsible sign was purchased instead for less than what was discussed.
 
Meeting adjourned: It was motioned by Troy Disabato and seconded by Ramona Holm that the meeting be adjourned at 8:46pm.
